No-Refund Policy
Colorado Springs Health & Fitness Expo — Refund & Transfer Policy
All Expo ticket purchases are strictly non-refundable. 100% of every ticket purchase is donated directly to Pikes Peak Suicide Prevention Partnership, supporting suicide prevention, education, awareness, and resources within our community.
Sponsorships
All sponsorship commitments and sponsor-related purchases are strictly non-refundable. This applies to all add-ons, including additional passes, lunches, conference room registrations, Vendor Passport participation, and magazine ads.
Category exclusivity is a benefit reserved for Gold-tier sponsors and above (including Founding Partner Circle sponsors at the Gold tier). This exclusivity is not retroactive — it takes effect only from the date that sponsor’s agreement is signed and paid in full, and from that point forward it restricts new registrations within that category.Any vendor or sponsor already registered in that category before the Gold+ agreement is executed keeps their registration as-is. They are not removed, uninvited, or asked to withdraw.
Payment in full is required before any benefits, deliverables, or promotional considerations are provided. Submission of the sponsorship form constitutes a binding agreement. Sponsor booths may be transferred to another business or organization, including in the event the original sponsor is no longer able to attend, provided the transfer is completed no later than 14 days before the Expo. Arranging and completing the transfer — including any financial arrangements between the original sponsor and the receiving business — is the sole responsibility of those two parties, not Sandi Griffin or the Colorado Springs Health & Fitness Expo. If the receiving business falls into a different category than the original sponsor, category exclusivity does not carry over to the new business.
Vendor Registrations
All vendor registrations, booth purchases, and vendor-related purchases are strictly non-refundable. This applies to all add-ons, including additional passes, lunches, conference room registrations, Vendor Passport participation, and magazine ads, including circumstances related to weather. Submission of the booth purchase form constitutes a binding agreement. General vendors are not given category exclusivity; only Gold-tier sponsors and above receive that benefit. Vendor booths may be transferred to another business or organization, including in the event the original vendor is no longer able to attend (non-profit booths may only be transferred to another verified 501(c)(3)), provided the transfer is completed no later than 14 days before the Expo. Arranging and completing the transfer — including any financial arrangements between the original vendor and the receiving business — is the sole responsibility of those two parties, not Sandi Griffin or the Expo.
Event Changes, Postponement & Cancellation
The Colorado Springs Health & Fitness Expo reserves the right to modify event dates, times, venue, format, programming, or specific benefits at its discretion, including in response to weather, venue issues, public health or safety concerns, or other circumstances beyond its control. If the Expo is postponed, relocated, or cancelled for any reason, no refunds will be issued; at the Expo’s discretion, purchasers may instead be offered credit toward a future event. If a specific promised benefit becomes unavailable (including but not limited to a speaker, sponsor activation, or venue amenity), the Expo may substitute a comparable benefit rather than issue a refund or be considered in breach of this agreement.
No Guarantee of Results
The Expo makes no guarantee, express or implied, regarding attendance figures, foot traffic, leads, sales, media coverage, or return on investment for any vendor, sponsor, or exhibitor. Purchase of a booth, sponsorship, or related package is a purchase of the stated deliverables only, not a guarantee of business outcomes.
Indemnification & Hold Harmless
By submitting a ticket, vendor, or sponsorship purchase, the purchaser agrees to indemnify, defend, and hold harmless Sandi Griffin, Sandi Griffin Fitness, and the Colorado Springs Health & Fitness Expo, including their owners, officers, employees, contractors, and agents, from any and all claims, damages, losses, liabilities, costs, and expenses (including attorneys’ fees) arising out of or related to the purchaser’s participation in the Expo, including but not limited to their own acts or omissions, any transfer arrangement entered into under this policy, or any claim brought by a third party in connection with that participation.
Governing Law & Venue
This policy and any agreement formed under it are governed by the laws of the State of Colorado, without regard to conflict-of-law principles. Any dispute arising out of or related to this policy shall be brought exclusively in the state or federal courts located in El Paso County, Colorado.
Severability
If any provision of this policy is found by a court to be invalid or unenforceable, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
Acknowledgment
By submitting this form, you acknowledge that you have read, understood, and accepted these terms in full. This agreement is binding upon submission, and the purchaser waives any right to dispute, cancel, or request reimbursement once payment has been made.
This policy applies to all circumstances, including but not limited to changes in plans, scheduling conflicts, inability to attend, and weather-related conditions, as portions of the Expo include outdoor vendor tents, activities, and programming.
